Save Email as PDF privacy policy

This policy explains what the Google Workspace add-on processes, why it is needed, how long it is kept, and the choices you have.

Effective date: 26 July 2026   Publisher: engineIT   Contact: info@engineit.com

Simple summary

Save Email as PDF processes an open Gmail email or conversation only after you choose an action such as print, save as PDF, download attachments, make a ZIP, or save to Google Drive. The add-on does not scan your inbox in the background, sell Gmail data, or use Gmail data for advertising.

Who is responsible for the service

engineIT provides Save Email as PDF. Privacy questions and data requests can be sent to info@engineit.com.

Google data the add-on may process

Depending on the action you choose, the add-on may process:

  • Your Google account identifier, verified email address, locale and time zone.
  • The open Gmail message or selected message in a conversation, including subject, sender, recipients, dates, headers, body content and inline images.
  • Original attachments belonging to the email or conversation you chose.
  • The Google Drive folder you select, including its folder ID and display name.
  • Your saved preferences, such as file naming, PDF page setup, output types and destination choice.
  • Job status, safe error codes, file names, counts, timestamps and technical audit information needed to deliver and troubleshoot the requested action.

Why Google permissions are requested

Gmail open-message access

Used to read the email you are viewing after you press an add-on action. It is required to prepare the print view, PDF, attachments or ZIP that you requested.

Run as a Gmail add-on

Used to display and operate the add-on inside Gmail.

Google account email and identity

Used to sign you in, keep preferences with the right account, protect private results and prevent another user from opening them.

Google Drive file access

Used when you choose or create a Drive folder or save an output to Drive. The add-on is limited to files and folders you select, create, or open through the add-on. It does not change sharing settings or create public links.

External service access

Used to securely send the requested email content to engineIT’s processing service and return the completed result.

Locale and time zone

Used to show dates and times in a familiar local format and to create accurate file names.

How information is used

Information is used only to authenticate you, perform the action you requested, remember your settings, save to your chosen destination, prevent abuse, secure the service, diagnose failures and answer support requests.

Remote images in emails

If the “Keep email pictures, colours and design” option is enabled, the processing service may retrieve remote images referenced by the email so the PDF more closely matches Gmail. Retrieving a remote image sends a normal web request to that image host, which can reveal technical information such as the processing service’s IP address and request time to the host. You can disable this option in export settings.

Where information is processed

The service uses Google Cloud infrastructure for the add-on, processing jobs and temporary private files, and Supabase for account, preferences and operational database services. Google Drive stores files only when you choose Drive as a destination. These providers process information under their own security and privacy terms as service providers.

Temporary processing and retention

  • Temporary selection batches normally expire after 120 minutes.
  • Generated result objects and processing copies are normally scheduled for deletion within 24 hours.
  • Google Cloud provider-managed soft-deleted or recoverable backup copies may remain for up to 7 additional days before permanent deletion.
  • Account preferences, selected Drive folder metadata and operational records remain while your account is active or as reasonably needed for security, support and legal obligations.
  • Files saved to your computer or Google Drive remain under your control until you delete them.

Google sign-in sessions and tokens

Google sign-in information is held temporarily in encrypted, secure session mechanisms so the app can authenticate requests and complete actions you choose. Google access tokens are not stored in the app’s operational database or written to application logs. Sessions expire and can be ended by signing out or revoking access from your Google Account.

Sharing and sale of data

engineIT does not sell Gmail content, attachments, Google account information or generated outputs. Data is not used for advertising, creditworthiness or unrelated profiling. Information is shared only with service providers needed to operate the requested feature, when you direct the app to save a file, when required by law, or to protect users and the service.

Google API Services User Data Policy

Save Email as PDF’s use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide or improve the user-facing features you request, for security, or as otherwise allowed by that policy.

Security

Security measures include validation of Google-signed identity, encryption in transit, private storage buckets, public-access prevention, authenticated result links, restricted worker services, sanitisation of generated HTML, least-privilege service access, and safe error logging that avoids message content and secrets.

Your choices and controls

  • Choose which email or conversation to process.
  • Choose whether remote images are included.
  • Choose computer, Google Drive, both, or ask each time as the destination.
  • Delete saved computer and Drive files directly from those locations.
  • Sign out, uninstall the add-on, or revoke access in your Google Account.
  • Request deletion of engineIT account and preference data using the account deletion page.

Children

The service is intended for adults and organisations using Gmail. It is not directed to children under 13, and engineIT does not knowingly collect personal information from children under 13.

Changes to this policy

This policy may be updated when features, permissions, providers or legal requirements change. The effective date at the top of this page will be updated. Material changes will be explained on this page or in the service where appropriate.
